FAQ

Questions organisers ask before the attendees do

Getting started

How long does setup take?
Most organisers publish a working concierge in under ten minutes: add a source, skim what was parsed, share the link. There is no data entry — you paste what you already have.
What can I feed it?
Pasted text, your event website (we crawl and convert the pages), or PDFs such as programme books and logistics manuals. Everything becomes searchable text the concierge answers from.
Can I test before going live?
Yes. Workspace members can chat with a draft concierge from the project editor, exactly as attendees would. Only published events are reachable by the public.
Will it show me what my attendees will want?
Yes — before anyone arrives. The Gaps tab checks your content against the questions attendees ask at almost every event and lists what it cannot answer yet. Settle each one in place: answer it, hand it the page or file that covers it, or dismiss it. The check reads your content only — it spends none of your questions.

For attendees

Do attendees need to download an app?
No. They open a link or scan a QR code in any mobile browser. Public events need no sign-in at all.
Will attendees actually use it?
This is the fair version of the question, and the honest answer is that app adoption is exactly why we are not an app: there is nothing to install, no account, and no campaign to run. It is a link and a QR code in the browser they already have open. The strongest answer we can give is not an argument, though — the concierge on our home page is the real product running on a real event’s content. Open it on your phone and ask it something awkward.
What happens at three in the morning, or at the gate?
It answers, from what you have already given it — that is the point of a concierge rather than an inbox. When it does not know, it says so plainly instead of guessing, and puts the question in front of you so you can answer it once and everyone after gets your answer. What it will never do is tell somebody a person is coming when nobody is: we would rather it said “I don’t know” at 3am than invent a reassurance with your name on it.
What if the concierge doesn’t know something?
It says so honestly rather than guessing, and passes the question to your help desk. You answer once, and every future visitor gets your answer without the model being involved. It stays until you change it, remove it, or give it an expiry date.
Can an attendee reach a real person?
Yes. There is an envelope in the concierge header — always there, not only after a failed answer — that opens a box for a message to you. It lands in your Inbox under Requests, and you reply from there: we send your reply by email and delete their address as it goes, so you never see it. When the answer is one everybody wants, one tick also stores it, so the next person gets it from the concierge instead of writing to you. Leaving an email is optional for them; a message on its own still tells you what somebody needed. We only ever tell them the message was passed on, never that a reply is coming, because we cannot promise your time. You can close the desk with one switch.
Can I restrict it to invited people?
Yes, at every size including Free — access is never something you have to pay to control. You add people by pasting their addresses, or add a company domain so anyone with an email there gets in. Adding someone sends their invitation, and the invitation is the door: they tap it once and they are in. No form, no password, no account. You can see who has opened theirs, resend it, and remove somebody at any point — removal takes effect immediately, mid-conversation included.
What if a guest turns up without their invitation?
They are never stuck. A small screen asks for the email they were invited on and sends a fresh link. If they are not on the list, the same screen offers to ask you to let them in, with an optional line about who they are — “I’m Ana’s plus-one”. That emails you, and approving adds them and sends their invitation in one step. We never tell anyone whether an address is on your list, but nobody is ever left with nothing to do.
Can I keep it private but still let people find it?
Those are two separate switches, so you can have either or both. Who may enter is Open or Invite-only. Whether search engines can find it is its own setting, off by default — off, the link is unguessable and never indexed, so somebody needs the QR code or the link. A ticketed conference is often both findable and invite-only. Turning findability off changes the link; anything already printed keeps working and sends people to the new address.
Can I put it on my own website?
Yes, on every size, Free included: a button in the corner of your site that opens the concierge in a panel, added with one line of HTML from the Share page. You list the websites allowed to show it, and a copied tag on any other site is refused, so nobody can spend your messages from a page you have never seen. Nothing loads until a visitor presses the button. It works for open concierges; an invite-only one offers to open in a new tab instead, because the invitation cannot be checked from inside somebody else’s page.

Data & privacy

Where is the data held?
In the EU. We never ask a public-event attendee who they are — no account, no profile, no name. A pseudonymous per-event key does join one visitor’s questions together, which is how “asked again” is counted; it is never a profile and never leaves the event. Chat transcripts are kept on a short retention schedule while aggregate analytics survive it, so your reporting does not disappear. The privacy policy, the terms, the data processing addendum and the full list of providers are on the Privacy & terms page — the retention period, the regions and who else can see a question are all stated there.
Could my content make the concierge misbehave?
Ingested content is treated as untrusted data. It goes into a clearly delimited block and is never mixed into the concierge’s instructions, so a stray line in a PDF cannot change how it behaves.
What do attendees see if something runs out?
If a concierge reaches its messages for the month it says it is unavailable, rather than pretending it has no answer — and you are warned long before that happens. In any degraded state attendees still receive your saved answers and get a polite, neutral reply to anything else. They are never shown quotas, sizes or billing; that is your business, not theirs.

Pricing & billing

What exactly am I buying?
One published concierge — one assistant with its own link and QR code — for a month at a time. You pick its size, and the size sets everything it may do: how many messages it answers a month, how much of your content it holds, how often it re-reads it, whether it carries your branding.
How is the price worked out?
Each size is priced on what it does as a whole — its monthly messages, how much of your content it holds, how often it re-reads it, and what it can do for attendees. Which size you need is set by whichever runs out first: the messages you expect, how much of your content it has to hold, and what you need it to do — your branding, announcements, surveys, how often it re-reads your sources. Every size can be bought by the month, as a 3-month edition in one payment, or yearly at ten months’ price.
When am I charged?
From the day you give a concierge a paid size, until you move it back to Free or delete it. Making one costs nothing: you name it, it starts on Free, and you pick a size on the next step — so you can add your sources, talk to it and change your mind without spending anything, and change size at any time afterwards. Taking a concierge offline does not stop a monthly or yearly bill — that way a venue between events keeps its size and its settings — so when you are finished, move it to Free or delete it. A 3-month edition needs none of that: it is one payment, and when the three months are up it ends on its own and the concierge returns to Free.
What if I pick the wrong size?
Change it whenever you like — it takes effect the same day and you pay the difference from that day, not the next month. Nothing changes size on its own, so you are never billed for something you did not choose.
Do I need a subscription?
For a monthly or yearly size, yes — a subscription that stops when you move that concierge to Free or delete it. A 3-month edition is not one: you pay once, it covers the run-up and the event, and it ends by itself. The free size needs no card at all, and it is a real concierge rather than a trial: 100 messages a month, your own link and QR code, for as long as you want it.
What can I do on the free size?
Keep up to five concierges, and have one of them live at a time. Prepare as many events as you like; the one you are running is the one that is up. When you publish a second, we say which one is live and offer to take it down in the same press — one tap, nothing lost. A free concierge stays up until you take it down: events are built weeks ahead and are meant to be quiet until the day, so nothing comes off its link for being unused. Paid concierges are counted by neither limit, so buying a size for one event lets you run it alongside a free one. Everything else on the free size is a real concierge rather than a trial — your own link and QR code, invite-only access if you want it, and 100 messages a month.
What happens when the messages run out?
It stops answering until the month turns over, and you are warned well before it does — we would rather you moved up a size on purpose than found a bill you did not agree to. If you need it to keep going, move it up a size: that takes effect the same day, and you pay the difference from that day rather than the next month. Nothing ever changes size on its own.

Still deciding?

The demo on the home page runs against a real event. Ask it something awkward.
